Privacy Policy

This privacy policy explains the nature, scope, and purpose of the processing of personal data (hereinafter referred to as "data") within our online offering and the websites associated with it.

With regard to the terms used, such as "processing" or "controller", we refer to the definitions in Art. 4 of the General Data Protection Regulation (GDPR).

Purposes and legal basis

We process personal data in order to:

  • provide the website and ensure security (Art. 6 (1) (f) GDPR),
  • respond to inquiries (Art. 6 (1) (b)/(f) GDPR),
  • fulfilling contracts, processing orders (Art. 6 (1) (b) GDPR),
  • fulfilling legal obligations (Art. 6 (1) (c) GDPR)

Hosting & Server-Logs

We host the website with VCServer Network OHG, Buchenring 1, 38154 Königslutter am Elm. When accessed, log data is automatically processed (IP address, date/time, URL, referrer, user agent). Purpose/interest: Operation, security (e.g., DDoS protection), error analysis. Storage period: usually 30 days. Legal basis: Art. 6 (1) (f) GDPR.

Contacting Us

If you contact us via form or email, we will process your information (e.g., name, email, message) to process your request. The legal basis is Art. 6 (1) (b)/(f) GDPR. Data will be stored for 10 years, unless longer retention periods apply.

Registration/orders & Payment processing (optional)

We process contract and license data for orders. License data, including the associated customer data, is stored for at least 10 years after the end of the maintenance period. We do not process any data ourselves for payment processing. The name, address and email address are transferred to online payment providers such as PayPal or Payrexx so that this data does not have to be entered again.

Data recipients & Processors

We only share data when permitted by law and, for example, when necessary for support requests. Service providers act as data processors pursuant to Art. 28 GDPR on the basis of contracts.

Any transfer of data outside of specific support requests is generally excluded.

Third country transfers

We use the American email service provider Postmark (postmarkapp.com) to send newsletters and update information emails. Postmark processes data in compliance with the GDPR. Detailed information on data storage can be found at postmarkapp.com/eu-privacy. The email address as well as the first and last name of the contact person will be transferred.

Storage period

We only store personal data for as long as necessary for the respective purposes or as required by law. After that, the data is deleted. Typical retention periods:

  • Contract/tax documents:10 Years (§147 AO, 257 HGB)
  • Applications/Contact inquiries:10 Years
  • E-Mails of Newsletter:45 Days

Your rights

According to Articles 15–20 GDPR, you have the right to information, correction, deletion, restriction, data portability, and, according to Article 21 GDPR, the right to object to processing based on Article 6(1)(e) or (f). Revocation of consent: at any time with effect for the future. Right of appeal: To a supervisory authority, e.g., in Germany to the [competent state authority] (Art. 77 GDPR).

Obligation to provide data

The provision of certain data may be required for the conclusion of a contract or the provision of services. Without this data, use may not be possible or may only be possible to a limited extent.

Security

We use TLS encryption (https) and appropriate technical and organizational measures (TOM) to protect data from loss, misuse, and unauthorized access.

Changes

We may amend this privacy policy if legal bases, services, or processes change. The current version can be found here; see above for the status.
